109: Event tips - identifying the target audience
In this episode, we talk all about your attendee profile and target audience!  Look at your past attendee data (if you've hosted an event in the past).  Review your customer demographics (they are likely similar) if you don't have past attendee data. Ask all the important questions on your registration form to ensure you have data for your next event. Poll and survey your audience to gather data on what they want and love at events to help you curate the agenda and content. Customize your marketing to the audience demographic. For example, if you have a new attendee and an alumni attendee, they could get different messages. Or if you have someone that attended a VIP in the past, their email can be different than someone that was general admission.  Attendee demographics is critical to be able to get sponsor investments. 103. How do sponsors measure success of an event?
In this episode, I share tips on helping sponsors succeed at your event. Booth traffic Tips: Plan activities and meals near the booths so there is a guaranteed audience in the area. Host a contest for attendees to visit booths to win prizes. Remind sponsors of the importance of being approachable and ready to engage so attendees feel comfortable coming to their booth. Ensure you set-up specific times on the agenda for attendees to visit sponsors so they are a priority. Quality leads. Tips: This starts before a sponsor signs-up. Make sure you are clear and transparent on the demographics of your attendees and event so sponsors can make an informed decision if the attendees are a good fit for their product or service. Have a way to collect attendee contact information on a form or lead retrieval. Did they have the opportunity to engage with attendees outside of the booth. Tips: Include passes to the event in the sponsor package so sponsors can be part of all aspects of the event. 96. Tips for hosting retreats

Text me with your event questions! 480-530-5182 https://my.community.com/sarahbrush I just attended an incredible retreat for Powerhouse Women last weekend and I am SO inspired by the power of live connection and retreat experiences to create major transformation. Here are 10 tips for hosting retreats. 1. The attendee connection and support is everything. Really look at who is being invited to the program or retreat to make sure the dynamic will be positive. 2. Pick a location has the vibe you want, is photo worthy and has the space you need for sleeping, eating and meeting. Don’t forget to check parking and noise restrictions 3. If you can afford it, hire a photographer and videographer to capture the experience. 4. If you don’t have an event planner, ask someone you know to come and help me BTS helping organize, set-up, also take photos/video and just be your helper so you can focus on the people there. 5. Create an agenda that allows for group discussions, breaks, free time, reflection. One thing I loved with the Powerhouse Women retreat is having the mornings open to go on walks together, talk, work out, have breakfast. 6. Bring food into the experience and have a chef that creates beautiful dishes that are weaved into the already inspiring environment. 7. Add in surprises like special guest to speak, goodie bags, branded items, a notebook is a must. Love the idea of doing something small each morning. 8. Add in experiences outside of the sessions like fitness, sound healing or other things that create connection and fun. You can even survey attendees in advance to see what some of their favorite activities are. 9. Make sure the sleeping arrangements are very clear. 10. Have a container to connect after the event to keep the conversation and experience going. Like a Voxer group, FB group, song playlist. Also, do a survey and request testimonials. 73. Behind the scenes - tips to keep your event running smoothly
I have been on-site for hundreds of events and there are many plans you can put in place to create a smooth on-site experience for not only the attendees, but your internal team, vendors and venue staff! 1. Establish a go-to communication plan with your event team and vendors. You need to be able to reach people instantly and communicate as a group with various people. For example, set-up a group for Production, a group for video and photo and a group for event staff. You can do group texts, Whats app, Slack or others methods. Make sure you set this up before you go on-site. 2. Always be in touch with your registration team so you know the attendee check-in numbers and the experience that is occuring. This will help if attendee numbers are low and you may want to pull chairs so the room still looks full or if there is an attendee with a challenge at registration you can address it quickly so they do not have to wait. 3. Make sure you have a welcoming team in the meeting room or ballroom to assist attendees with seating or any questions they might have. 4. Think of your sponsors, vendors, and venue staff as an extension of your team. Before your event, it’s important that you provide them with one central point of contact so they can easily communicate with your team on-site. VIP speakers or talent should have their own person assigned to make sure they feel like they have someone available for them when they need it. 5. Set up signage so it is clear to attendees where things are located and as an added bonus, human directionals to help attendees personally find their location. Many events also have info desks to help support attendee needs. 6. Depending on your event and budget, having a mobile app on-site is a great way to keep continuous communication with your attendees or you can do daily emails to wrap up the day and set the tone for the following day. 7. This a pre-event item, but also flows into on-site. Always make sure to ask attendees for their dietary requirements when they register so you can ensure to have special meals available for them, if needed. Also, ensure food stations and buffets are labeled in detail so it is easy for attendees to figure out what they can and can’t eat. If your budget allows, I always suggest having nonstop coffee, water, and soft drinks through out the day versus just at specific times. Coffee can be a very sensitive topic and quite upsetting when it is missing. 😊 8. Set it up so attendees can easily share event photos and tag your event on social media. 63. What to do when your event is over - post-event ideas
This episode provides tip to extend the value of your event post-event. Send a thank you email and send a “sorry we missed you” email to no-shows. Host a post-event Q & A – Go live on social media or set-up a Zoom meeting. Encourage attendees to ask any new or remaining questions from the event. Offer a prize drawing for all those that fill out the survey to increase participation and feature prizes by your sponsors or services that you offer like a 1:1 coaching session. Keep an active post-event Facebook group or container to keep attendees connecting and that you can also use to promote future events. Invite happy attendees to join you on your favorite platform such as a podcast or a live session to share their takeaways and the impact they received from the event. Identify attendees that were very engaged and supportive and invite them to be a VIP for your next event. Create a content hub where you post content from the event for attendees to access.  Ask attendees to do video testimonials in return for a gift from a sponsor or a gift from you. 61. How to make the most out of attending an event
In this episode, I share tips from my experience on how to ensure you leverage all opprtunities from being at a live event. 1. Follow the event hashtag Events usually have hashtags or a specific event handle to follow, it’s a great way to make sure you are in the know of all of the action and get instant updates when new content or speakers are being released. Plus it facilitates networking. 2. Think about what your goal is for the event. What do you really want to walk away with, what would make this event feel like a success for you? Write this down and create an action plan. 3. Stay at the event hotel This is where a lot of the fun community building happens when the event is over and attendees are hanging out in the hotel bar or restaurant. 4. Take photos Remember your day by taking photos with the people you meet, speakers and the fun things happening at the event. Make sure to post these and tag everyone on social media which helps build community for the event, but also helps your networking because you are sharing the value of who you are meeting. 5. Focus on growing your network There are so many opportunities to build relationships at events. You want to be really intentional. Make sure to follow the people you meet on social media and follow-up quickly after the event to nurture the relationship from the start. You can think about the type of people you want to connect with like: Finding potential customers and clients Partners and vendors you can collaborate with Speakers you may want to leverage for your community If you have a list of people that are attending the event or you see them posting on social before the event that they are attending, start connecting now and then meet your social media friend in person. 6. Think about how you can leverage your event experience to create new content for your community through blog, videos, quotes and more 7. Make sure to attend the receptions and new attendee opportunities Sometimes you may feel like its been a long day and you want to skip it, but this is when some of the best connecting happens. 8. Select your sessions and create your schedule in advance. Take the time to review all sessions and see what is most valuable for you so you have a plan of action before you get on-site. You can also find out what sessions may be recorded that you could watch later. 9. Really put on your out of office and be fully engaged. 10. Don’t keep your experience to yourself. Make sure you create a summary of the highlights and learnings of the events so you an share with your co-workers and really bring the value back to your team. Look at the businesses that are already sponsoring events in your industry. They already know the value of event sponsorship. 3. What brands do your customers or event attendees engage with on a regular basis? These businesses could be a great fit for sponsorship. 4. Find the decision maker. 5. 55: Event ideas to foster attendee participation and networking

Host a workout class or a 5k run in the morning before the meeting starts. This kicks off the day on a healthy notes and gets people connecting on a personal level before the event starts. It’s good to have your company leaders participate as this will also increase attendance. 2. Provide an opportunity for attendees to participate in a charity activity that gives back to the community. This could be something that happens pre-event or as a scheduled activity during the event. For example, you could have attendees assemble food baskets for those in need, your 5k run could be a fundraiser, hold a silent auction and have sponsors provide gifts. 3. Promote an open mic. Allow businesses to showcase their ideas in quick pitches, in front of industry professionals and attendees vote on ideas. 4. Use name badges for comversation starters. Include fun personal facts on the badges that are ice breakers like an activity they love to do. This doesn’t have to be formal, but a way for attendees to feel at ease with what they can start connecting on.  What do you like to do outside of work? How can I help you meet your goals? 6. Create specific areas where people can organically connect.  This could be a lounge area with charging stations, interactive games, coffee bar, candy buffet. 7. Add progressive reception or dinner. If you have a smaller event, it's a fun idea to start at one location for appetizers, move to another for dinner and another for desserts. This keeps activity and conversations going with the shared experience. 8. Provide the opportunity for a small group meet-ups. Reserve space at various spaces or restaurants and facilitate attendees booking a time to share a table and connect with other attendees. 53. Tips to help your event attendees feel welcome
It's so important to create a welcoming experience for your attendees! In this episode, we talk about tips to make this happen! 1. Host a welcome reception or welcome meeting for attendees that have never attended your event before.  2. Acknowledge attendees by name (yes, so simple!) 3. Create an agenda that allows time for networking. 4. Do the unexpected. Send a handwritten note to your attendees hotel room or have it in their registration materials so they feel the love and appreciation from the start. 5. Ask attendees what they feel would be valuable for them to participate in at the event. Doing these surveys, polls, focus groups or 1:1 calls with make the attendees feel like they are forming the event experiences and that you are creating the event specifically for them. Think collaboration and co-creation. 6. Create fun and unique snack breaks or food surprises during the event. The morning and afternoon pick me ups, break up the day and gives everyone a boost of energy. 7. Share who is attending and welcome attendees when they sign-up on social media. 8. Make sure you are staffed up so you don’t have long lines at registration and meals. This can just kill the mood! 9. Do not blow off negative feedback from attendees, it is really important to address it and make the attendees feel like you care and are listening.  10. Over-communicate the event basics. It's important to create an event budget early to ensure you set the stage for your event to succeed. This will help you to determine your must have and nice to haves for the event and create the best experience for your attendees. Understand event goals so you know what elements should be included in the budget. Start gathering estimated costs.  Review historical data from past events. Create a starter budget with all line items. Get multiple quotes from vendors. The venue that you select will inform many costs for your event like food & beverage, Audio visual, meeting room fees and sleeping room fees. Figure out nice to haves versus must haves. Figure in the sponsor revenue and ticket sales that will offset your budget Finalize all expenses, the budget will continue to evolve as you make final decisions on your event.

32. What information to ask on your event registration form
Today in this episode, I share data points that are beneficial to collect on your event registration form to meet the needs of your attendees. It is best to keep registration forms as short as possible while still collecting the critical information.  1. Ask how they heard about the event so you are aware what marketing method was successful in converting your community to an attendee. 2. Ask what the attendee top priorities are in attending the event. This could be a drop down list of things like education, networking, training, entertainment and others. This helps to understand the mindset of the attendee going into the event. You can also include questions you may want to collect in advance for presenters during sessions. 3. Social media “handles.” This is nice to collect so you can tag and welcome new attendees joining you on social media and keep in touch with them throughout the planning and on-site event. It also helps you know which platforms to concentrate on with your event marketing campaigns 4.  Emergency contact information. Hopefully, you never have to use this information — but knowing whom to contact if an attendee needs help is invaluable. 5. Disability Accomodations The Americans with Disabilities Act requires companies that lease space in public facilities for events, conferences, seminars or meetings to ensure those activities are accessible to people with disabilities. You may need a sign language interpreter, wheelchair access, accessible reserved seating, accommodation for a service animal, close captioned vidoes or other items. 6. Dietary requirements and food allergies You want to ensure your attendees can enjoy all the meals and break foods that you offer. Ask them to submit their requirements so you can share this with the chef and come up with alternative options for those that need it. 7. Session and activity choices If you are offering multiple sessions or evening events, ask attendees to select what they are planning to attend so you are aware for seating arrangements, food and beverage and other elements that will be impacted. 8. 30. How to be successful as a vendor at an event or market
In this episode, we talk about how to be successful as a vendor at a market or event. I have been working with exhibitors for over a decade in the technology industry at large trade shows and conferences and I have also been a vendor at many markets with our handmade game business. 1. It all starts pre-event. Promote your presence at the event, do giveaways to build excitement, partner with other vendors at the event to expand your reach to their audiences and provide value, create polls to see what products your community is hoping to see and buy in your booth and feature something they can not get outside of the market so it is a one of a kind experience. 2. Design an inviting, visually and functionally appealing space by playing with colors, design and product display set-up.  3. This seems very obvious, but you would be surprised how often this happens. Make eye contact and smile at those walking by your booth. Create an inviting space for them to enter. You don’t want to be sitting down on your phone, looking bored or crowding in a group with your booth staff which makes people feel uncomfortable. Your energy can attract more visitors. 4. Focus on storytelling. People like to buy from people they like and resonate with the story behind their product. 5. Have a way to collect their contact information. Whether you are using a lead retrieval device or just having them leave their email for a chance to win a prize. This way you can contionue the conversation after the event. You can also do a little giveaway to each person with your logo that enters the booth that will be a reminder of your business. 6. Be fully staffed. The worst is when you lose a sale or an impactful conversation because you are too busy to talk with someone or you don’t notice them waiting. Make sure everyone working your booth is on the same page on how you share your messaging around your company and product. 7. Make sure you have enough promotional items, marketing material and product so you do not run out and can easily re-stock. 8. Network with other vendors at the show to build your community and create opportunities for the future. Plus they may have some great tips to share! 9. If you are allowed by show management to create experiences within your booth, its always fun to drive traffic. For example, photo stations, prize wheels, games and more! 10.  Celebrate the success of the event and keep the momentum going. Follow-up with your leads, send messages to the other vendors you have met, share photos on social media from the event. Thank for the organizers for hosting, it is a BIG job. 28. Why not to discount your event. Add value instead.
This episode is why it's best not to discount events. The better way to go is add value. Why not to discount: 1. Discounting affects peoples’ value perceptions. When you pay less for something, especially due to a price that’s been “reduced,” you see less value in it. 2. You set a precedent that you will always be open to providing a discount.  3. Think about if an attendee knew someone paid $250 for a ticket and someone paid $100. You want to be fair and think about your community as a whole. 4. By offering discounts, your primary focus is on price rather than the value of your event. 5. Finally, you lose money by discounting which could be put back into your event to increase the value and the special things you do at the event. How to add value instead of discounting 1. Do a drawing for all those that register by a certain date. 2. Provide a group offer so attendees are incentivized to bring more people and you increase your event attendance. 3. Extend the value of your event through pre and post event. 4. Add an upgraded ticket option.  5. 22. What NOT to do when planning an event
In this episode, I provide 10 tips of what not to do when planning an event. Don't anticipate everything is going to run perfectly. It is great to have a positive outlook, but ensure you have back-up plans for potential challenges. Don't plan your event in a bubble. Poll and survey your community that would attend your event. Don't kick-off your event with a negative experience, this usually happens at registration. Don't have a go with the flow attitude on the budget. Plan and allocate funds to each area of the event and adjust along the way. Avoid picking an event venue just on how it looks. Make sure it meets the needs of your event. Don't think bad weather will not happen to you. Have a bad weather back-up in your contact if you have an outdoor space. Don't forget about communicating with attendees on-site. Don't forget to have options to re-print marketing materials and badges if last minute errors arise.  Don't underestimate the importance of the small and impactful details.
