13: Virtual Event Details to share with your Event Producer & AV Partner
To say that a lot has changed in the event space over the last few months is an understatement, but there is some light at the end of the tunnel and we'd like to share with you  a few important virtual event details that you need to provide your event producer or AV partner for a successful event. We've already seen some great requests from clients looking to dive back in and we're excited to see our industry come together to keep it strong. Over the past few months, we have served and assisted many organizations with their virtual events, especially virtual fundraising during a time when many non-profit and for-profit fundraisers have feared that they will not be able to meet their annual budget goals. By pivoting to virtual, as a matter of fact, many of these organizations have raised more than they projected or hoped that they would, some way above previous year’s fundraising. And the good news doesn’t stop there, by going virtual, they’ve opened up to an online audience that otherwise they would have not been able to reach, an audience that could very much become a live in-person audience, in the near future. Virtual events, in one capacity or another, are here to stay and we’re glad to have this opportunity to share with you our tips and experience  on producing virtual events so far, our hope being that more organizations would consider transitioning to virtual events and we could be a fit for you and your virtual event management and production needs. First off, a warm and very virtual HAPPY MOTHER'S DAY to all of you mothers out there! Today is a day for honoring all the women in our life who support and nurture us, from our sisters to our grandmothers to our mothers in law.  Mothers, in any form motherhood might have taken for - you deserve to be celebrated especially during times such as these! Let's take a moment to stop and reflect on all of the hard work our mothers do! COVID-19 has been devastating for most small businesses, including my own. For most event organizers, promoters, music venues, and entities in the live events industry this virus has been a complete “show stopper.” Tens of thousands of live events have been shut down and nobody knows how long the live events ban will last. Event Organizers are faced with an unprecedented crisis that is affecting every city and every state in the United States, and worldwide. The coronavirus is forcing us to make tough decisions on a daily basis. 11: Coronavirus Chronicles and what can be done about it
Four weeks indoors as a family can make a few things clear. You will know if your marriage is stable and if you truly love your children. You will know if you can keep yourself occupied for a lot of hours. You will also know for certain if you love or hate puzzles, science projects and board games.  I always had a feeling I hated puzzles, but was not 100% sure of that until recently. I am now certain; I despise them. All jokes aside, the reality is, we are all struggling to deal with the recent outbreak of COVID-19 virus, which will have both short- and long-term impact, and moving forward with scenario planning for a range of uncertainties pertaining to proceeding and recovering in the months and even years ahead.  When facing uncertainty or crisis, identifying reliable and timely sources of information is critical to making responsible decisions.  And I totally understand how this is a stressful time for everyone  and people want to know what they can do now to protect themselves and their families. In this episode I will be talking exactly about that and sharing a bit of my experience in the quarantine. 10: How to prepare for a successful trade show event
In this episode  I have the honor of interviewing live, Anna Marie Aldinger, the president and owner of IBL Events, one of the largest producers of consumer trade shows in Idaho. We will cover topics such as personal strategies to handle multiple projects at the same time, tips to overcome event stress, the type of return an exhibitor should expect from a trade show, how to create a visually appealing booths, marketing tactics to ensure success before and after exhibiting at a trade show and of course, the growing concerns about the spread and impact of the COVID-19 virus (aka corona virus) and the type of precautions a meeting professionals should take, if and when should they cancel their event and the type of plan that should be in place not just for the organizers but also for venues, keeping attendee's health and safety on top of mind. 09: Questions to ask your AV Provider/Partner
In this episode I will be talking about ways of getting the most out of your AV partner,  I will be discussing AV RFPs or proposals, what it takes to hire an AV supplier or vendor and what questions would you be asking when partnering with a new AV provider. While AV provider is used quite a lot in the industry, I like to refer to this title as AV partner, because what you really want out of this relationship is a partnership, you want someone that will have your back and look out for you, will understand your vision, will work tirelessly  towards accomplishing your goals, and will basically provide more than just AV. Remember, you’re hiring a provider to manage a significant portion of your event for you. If you don’t trust them as your partners then they’re not the right fit for you. A true partner will offer input based on their experience & expertise, even in areas that they’re not technically being “paid” to oversee, and that simple act can make a world of difference in the outcome of your next event because you should be looking for more than just an equipment provider. This will be a great topic for any event planner and professional that finds themselves in the position to create such new partnerships and relations. The levels of stress an event professional goes through are pretty incredible. CareerCast made event planning the 4th most stressful job of the year. 4th most stressful, right after Airline Pilots, Police officers and broadcasters. I mean, some days it feels like I’m landing the plane if know what I mean and some days I just ain't with how much stuff is going on. 03: The makings of good Sound for meetings and events
In the spirit of understanding each other better, let’s start with the importance of good event sound in a venue for meetings and events, the equipment that you should have at a minimum and what are some of the common problems when it comes to sound. So here’s a true fact that many of you might disagree with: Hearing someone speaking at an event is more important than seeing them. Think about it for a moment. If you’re sitting in the audience at a sales meeting and there’s a problem with the slides, it may not be ideal, but the speaker can still deliver his presentation and hopefully carry their point across. If you’re attending a fundraising event and the benefit auctioneer can’t be heard, not only would that be very frustrating but they literally can’t do their job effectively and you just lost thousands of dollars in possible donations.  If the sound is garbled, not clear, distorted or not eq-ed properly bidders won’t bid. As simple as that. So, what does EQ-ing mean?  What’s up with watts? What is a watt? What is an SPL and why is it all this important? What is one rule of thumb when it comes to loudspeakers to audience ratio? What is a time alignment processor and why do you need one? What is the other one most important ingredient in the making of good sound for your events? What's the one tip to get presenters and speakers to show up for sound check? 02: Why is AV so important for events?
 If this is your first time listening to this Podcast, my hope is that you will walk away after this episode with some relevant and helpful information regarding the audio-visual and lighting technology side of events to empower you and give you some inside tech knowledge that will make it easier and much smoother for you to plan your next event! My goal is to share with you insightful tips, strategies, tactics and  perspectives which will help you plan and produce successful events of all types and sizes, regardless of your AV budget. Weather your a beginner or a veteran, I want to provide you with enough relevant information that will take your events to the next level. You don’t need to be as fluent as your technician but knowing how things work will improve your ability to identify your AV needs, and especially manage your event’s AV budget! I’ve always been naturally a technologically curious person and because of that, tech feels very comfortable to me and while I want to hope it comes just as natural to many others, the reality is, most event planners are terrified of tech, don’t want to deal with anything technology and especially technology gone wrong. I get that and that’s where I hope to come into play. Tree-Fan Events was born out of the desire to create memorable events in partnership with my clients but also to educate our clients whenever the opportunity arises about the importance of working with professionals and what our role is as audiovisual providers in the fast growing events industry. Using quality AV equipment by highly skilled professionals is mostly always a recipe for success with the end result most favorable and memorable.  So in this episode, let’s talk AV and why is it so important for events? Studies have shown that the use of AV in classrooms is highly effective as it stimulates the class better which results in improved learning and higher grades for students.  I can’t believe that weeks and months of planning and strategizing have led to my very first podcast! I’m super excited to be bringing this content to you! My goal and desire over the years has always been to empower you: the event planners, the event coordinators, the executive assistants, the development directors, the marketing relation coordinators, the special event associates, the events ambassadors – you name it, basically anyone that has ever planned an event (aside from their birthday party) and whom at one time or another had to make some big decisions regarding technology and event audio-visual.
